Thank you for trusting Caladan LLC, dba Cascade Games Convention (CascadeCon) with your information. The terms of this Privacy Policy are intended to help you understand what data we collect, what we do with it, and why we do so. Please read this document carefully. This document refers to the information you provide or collect about you here at https://cascadecon.games (our “Website”).

1. Information We Collect

We collect analytics information to provide better services to our users and our future users—things like (but not limited to) the way you interact with our user-interface, your personal identifying information necessary to register you for a game convention(s), and personal identifying information necessary to bill you for payment.

We collect information in the following manners:

1.1 Explicit Information You Give Us

Registration to attend CascadeCon automatically causes you to sign up for an account at our Website (a “CascacdeCon Account”). When you do, because you are registering to attend our event, we ask for personal information including your name, email address, telephone numbers, and billing address, as well as the title, name, email address, and birthday information about each of the attendees you have registered. We also ask for your credit card number, credit card expiration date, and credit card CVV code. If you elect to use our Schedule to host games or join games being hosted by others, you may also give us information about what board or table games you own or possess, what games you are interested in, and which other attendees you have or will have associated with.

1.2 Implicit Information You Give Us

Because all tickets have certain age qualifications, e.g., “12 years or under,” “13 and older,” or “18 and older,” by purchasing them and associating them with certain attendees, you are providing implicit information about an attendee’s age.

1.3 Information We Derive from Your Use of our Website

We collect analytics information about how your use our Website, such as when you visit or abandon certain pages, how long you remain on pages, and how you click from one page to the next or to a third party page or hyperlink. Information we collect when you are signed in to your CascadeCon Account may be associated with your Account.

This information includes:

1.3.1 Device Information

We collect device-specific information (such as your hardware model, operating system version, unique device identifiers, and mobile network information including phone number). CascadeCon may associate your device identifiers or phone number with your CascadeCon Account.

1.3.2 Application Identifiers

When you use our services, we may collect and process information about your present location, to whatever granularity or specificity your device and the access point or cell tower through which it connects to the internet. We may use various technologies to determine or interpolate your location.

1.3.3 Log Information

When you use our services or view content provided by you or CascadeCon, we automatically collect and store certain information in server logs. This includes:

(a) Details about how you used our service;

(b) Internet protocol address;

(c) Device event information such as crashes, system activity, hardware settings, browser type, browser language, the date and time of your request and referral URL; and/or

(d) Cookies that may uniquely identify your browser.

1.3.4 Location Information

When you use CascadeCon, we may collect and process information about your actual location, using technologies such as your IP address, GPS, and other sensors, which may provide CascadeCon with information on nearby devices, wi-fi access points, and cell towers.

1.3.5 Local Storage

We may collect and store information (including personal information) locally on your device using mechanisms such as browser web storage (including via HTML 5), application data caches, and browser-side encryption protocols.

1.3.6 Cookies and Such

We use various technologies to collect and store information when you use CascadeCon, including cookies or similar technologies to identify your browser or device.

2. How We Use Information We Collect

When you register to attend our game convention, we use your name and contact information in concert with your credit card information to bill you for your registration and for marketing purposes. We do store your name and contact information, which we may also use to communicate with you about CascadeCon’s event(s), to allow registrants to connect with one another to host and join board game playing events at CascadeCon, and for other marketing purposes.

We do not store your credit card information; rather that information is transmitted to our third-party payment processor, Stripe, for use one time to validate your payment. To review Stripe’s privacy policy, click here.

We do store the title, name, and email address of any attendee you register for the purpose of communicating with attendees, allowing the attendees to communicate with one another, and for marketing purposes. We also store the birthday information about any attendee you register for the sole purpose of celebrating the attendee’s birthday if it falls during a CascadeCon event. We do not share any attendee’s birthday information with third-party marketers, but will share the attendee’s birthday with other attendees and staff (and other third party natural persons who might be present at CascadeCon for the sole purpose of celebrating the attendee’s birthday.

We use the analytics information we collect from your use of our Website as well as information from your attendance at our event(s) to provide, maintain, protect and improve our services to you, to develop new ones, and to protect CascadeCon, our registrants, and the attendees of our game convention. and our users. We may also use this information in the future to offer you content tailored to your needs.

We will use the name you provide for your CascadeCon profile (and the names of your attendees) across all of the services we offer now or may offer in the future. If other users already have your email, or other information that identifies you, we may show them your name, photo, and email address. We will use your identity to help connect you with other attendees and registrants at/of CascadeCon.

When you contact CascadeCon, we keep a record of your communication to help solve any issues you might be facing. We may use your email address to inform you about our services, such as letting you know about upcoming changes or improvements.

CascadeCon processes personal information on various servers, which may reside in several countries around the world. We may process your personal information on a server located outside the country where you live.

3. Accessing and Updating Your Personal Information

We purpose to provide you a manner to keep your personal information updated and current. At minimum, you may write us to request us to make changes to any personal information associated with your Account, a request which we will not unreasonably deny. If your personal information is wrong in our database, we will strive to give you ways to update or remove it quickly, unless we are required to keep such information for legitimate legal purposes or unless we reasonably desire to keep such information for ongoing legitimate business purposes. We may ask you to verify your identity before we act on your request.

We will reject requests that are unreasonably repetitive, would require disproportionate engineering or technical effort, would risk the privacy of others, or would be impracticable.

Where we can provide information access and correction, we will do so without charge unless it would require a disproportionate effort.

4. Information We Share

We do not share personal information with third parties outside of CascadeCon, except in the following circumstances:

4.1 When You Consent to Disclosure

We may share personal information with third parties when you affirmatively consent to do so.

4.2 When You Register, to Connect You with other Registrants and Attendees

As the primary purpose of CascadeCon’s board game convention is to enable attendees and registrants to interact with one another to play board games, we may share your name and email address with other attendees or registrants for this purpose, or for other reasonably related purposes.

4.3 External Processing

We provide personal information to affiliates or trusted businesses or persons to process it, based on appropriate confidentiality and security measures. For example, we will share as much of your information as is necessary to process payments for your registration to CascadeCon events.

4.4 Legal Reasons

We will share personal information with third parties if we have a good-faith belief that access, use, preservation, or disclosure of the information is reasonably necessary to:

(a) Comply with any applicable law, regulation, due legal process, or enforceable governmental request;

(b) Enforce applicable Terms of Service, including investigation of potential violations;

(c) Detect, prevent, mitigate, or otherwise confront fraud, security, or technical issues; or

(d) Protect against harm to the rights, property, or safety of CascadeCon, our users, or the public, each or all as required or permitted by law.

4.5 Anonymized Information

We may share nonpersonally identifiable information publicly and with our partners.

4.6 In Case of Merger, Acquisition, or Sale

If CascadeCon is involved in a merger, acquisition or sale, we will continue to ensure the confidentiality of any personal information and given affected users notice before such personal information is transferred or becomes subject to a different privacy policy.

5. Information Security

We work fastidiously to protect CascadeCon and our users from unauthorized access to or unauthorized alteration, disclosure, or destruction of information we hold. Specifically:

(a) We provide our main Service using SSL;

(b) We review our information collection, storage, and processing practices to guard against unauthorized access to systems; and

(c) We restrict access to personal information to CascadeCon principals, employees, contractors, and agents who need to know the information in order to process it for us.

6. Application of Privacy Policy

The terms of this Privacy Policy applies to all services offered by CascadeCon, except to services we offer which expressly do not incorporate this policy and incorporate a different privacy policy.

This Privacy Policy does not apply to services offered by third parties.

7. Modifications to Privacy Policy

We may modify our Privacy Policy from time to time. We will not reduce your rights under these Privacy Policy without your consent. However, if you do not consent to further modifications of our Privacy Policy as we may make from time to time, we may terminate our provision of Services to you, or terminate your CascadeCon Account, or both. And if you register for future events using this website, you will be required to consent to any Privacy Policy, new, edited, or otherwise, then in force at the time of your registration.
